MIGRATION GUIDES

Migrating from HubSpot

Companies, contacts, deals and notes, with their links.

Before you begin

A HubSpot Super Admin, or a user allowed to export, can do this on any HubSpot plan.

In Crittiks, open Settings › Migration and choose HubSpot. Keep a copy of the original export. Invite the teammates who should own the imported records before matching owners.

Prepare your files

Three CSV (or Excel) files: companies, contacts and deals. Optional: an activities export.

Export companies

In HubSpot go to CRM > Companies, choose All companies, then Export. Pick CSV, and include all properties.

HubSpot: Export records

Export contacts

CRM > Contacts > All contacts > Export. Tick “Include associated records” so each contact carries its company's Record ID.

Export deals

CRM > Deals > All deals > Export, again with associated records, so each deal carries its company and contact Record IDs.

Optional: notes and calls

Export activities from the same screens (or a custom report of notes, calls and meetings) if you want your history too.

Drop all the files in Crittiks together

HubSpot emails a download link; unzip it or drop the ZIP as it is. Crittiks links deals to their companies and contacts by Record ID.

What moves

  1. Companies
  2. Contacts (with lifecycle stage and lead status)
  3. Deals with pipelines and stages
  4. Notes, calls, meetings and tasks from an activity export
  5. Owners, matched to your team by email
  6. Custom properties

What stays in your old tool

  1. Email bodies and attachments
  2. Automations and workflows
  3. Reports and dashboards
  4. Tickets, quotes, products and custom objects
  5. Marketing emails, forms, sequences and lists

Preview and test in Crittiks

  1. Upload your export files in Settings › Migration and choose Read my files.
  2. Review the proposed record types, field mappings, owners and stages. Resolve warnings and save any changes.
  3. Choose Test with 25 of each. Inspect the imported sample in the relevant customer, Sales or Projects screens.
  4. Choose Undo the test if the result needs correcting. When it looks right, choose Import everything and review the confirmation.
  5. Read the final report and check representative records, their relationships and record counts.

After the import

The run’s report shows any records that need attention. Undo is available for 30 days; records edited or linked since the import may be kept and listed instead of being overwritten.

Owners are matched to your team by name or email; anyone we cannot match is listed for you to assign.

Re-running the same export later updates the records instead of duplicating them.
